Modernizing aging software, with all of your data

Modernizing software means replacing an aging system with a current, secure and maintained application, without losing its history. J3B Web studies the old system, carries over its data with import tools that can be rerun and checked, then prepares a short switchover with a rollback plan.

When should you modernize software?

Software can run for years and turn into a risk without anyone noticing.

  • Nobody maintains it anymore

The developer has left, and every fix is a worry.

  • Its technology is outdated

A version of PHP or of a framework that no longer gets security updates.

  • Its data is poorly organized

Taxes calculated separately, amounts rounded badly, categories in free text.

  • It no longer keeps up with your business

No phone version, no online payment, no two-factor authentication.

What’s included

  • A study of the old system

Its tables, its hidden rules and the data that no longer follows those rules.

  • Imports that can be rerun

Read-only access to the old database, a dry run, then the real import, as many times as needed.

  • Checking the numbers

Record counts and money totals are compared between the old and the new system.

  • An anomaly report

Every record that doesn’t make it through is listed in a file, so a person can decide what to do with it.

  • A short switchover

A timed plan, with a rollback ready just in case.

  • Up-to-date software

Current versions of PHP and CodeIgniter, two-factor authentication and encrypted backups.

What’s not included

  • An exact copy of the old software. The screens are rethought around the way your team works today.
  • Carrying over data nobody needs. You decide together what gets imported, archived or left aside.
  • Typing in your paper documents.

How the project runs

  1. Step 11 to 2 weeks

    Discovery

J3B Web uses the old software with your team and reads its database, to spot the rules nobody wrote down.

  2. Step 2About 1 week

    Plan and quote

The plan lists each table, what it becomes, and the modules to replace first.

  3. Step 31 to 3 weeks

    UX design

The new screens fix what frustrated people in the old ones, without throwing off regular users.

  4. Step 44 to 16 weeks depending on scope

    Development

The imports run from the start of development, on a copy of your real data.

  5. Step 51 to 2 weeks

    Testing and launch

The last import, a comparison of the counts and totals, the switchover according to plan, then training.

  6. Step 6Ongoing

    Growth and support

Regular security updates, so the new software doesn’t age like the old one.

Frequently asked questions

Can we keep all of our data?

Yes. At Agence Distinction, the migration tools carried over more than 4,000 clients and 13,000 invoices from the old system. Each import compares the counts and money totals between the old and the new system.

Do we have to stop working during the switchover?

No. The switchover is prepared ahead of time and takes little time, with a rollback plan. Your team uses the old system until the last moment.

Do we have to replace everything at once?

Not always. Depending on the system, one module can be replaced at a time, keeping the old one for the rest during the transition.

Is our old software a risk?

Software that no longer gets security updates exposes your data and your clients’ data. Under Law 25, an incident involving personal information may have to be reported to the Commission d’accès à l’information.
